A forty-page style guide rarely survives an incident. When we structure knowledge bases, we leave a one-screen contribution checklist near the edit button: who reviews, where diagrams live, how to link to the runbook index, and when to archive instead of overwrite.

Engineers follow rules that reduce rework. If your review process requires three tools and a meeting, expect silent edits in the wrong space. Pair the checklist with a named domain owner who can approve within a day. Documentation systems thrive on friction that is light and predictable — not on ceremony.
